Managing Bookings

Create reservations, track their status, and handle check-ins and check-outs from your Front Desk.

The Front Desk is where you'll spend most of your day. It's your central hub for creating bookings, tracking reservations, and managing guest arrivals and departures.

Creating a new booking

  1. Go to Front Desk in the sidebar (under Operations).
  2. Click the "New Booking" button.
  3. Fill in the details:
    • Customer — Pick a guest from the list, or add a new one right from the form.
    • Category — Choose the room type to see what's available.
    • Room — Only rooms that are free for your dates will show up here.
    • Check-in & Check-out dates — When the guest arrives and leaves.
  4. The total price calculates automatically — no math needed!
  5. Click "Create Booking" and you're done.

[!NOTE] Sevoria checks availability for you automatically. You'll only see rooms that are actually free for the dates you pick.

Understanding booking statuses

Every booking goes through a simple lifecycle:

StatusWhat it means
PendingThe booking is created but hasn't been confirmed yet.
ConfirmedIt's locked in — the room is reserved for this guest.
Checked InThe guest has arrived and is in their room.
Checked OutThe guest has left. The stay is complete.
CancelledThe booking was cancelled.

You can change a booking's status right from the table — just click on it and pick the right action.

Finding what you need

With lots of bookings, you'll want to find things quickly:

  • Search — Type a guest name or room name to find what you're looking for.
  • Filter by status — Click a status tab to see only Pending bookings, or only today's check-ins, etc.

Tracking payments

Each booking also keeps track of money:

  • Total Price — How much the stay costs.
  • Amount Paid — How much the guest has paid so far.
  • Payment Status — Shows as Unpaid, Partial, or Paid automatically.

Handy tips

  • Confirm bookings quickly — Don't leave bookings as "Pending" for too long. Confirm them once you've verified with the guest.
  • Check in when they arrive — This keeps the Room Manager up to date so housekeeping knows which rooms are occupied.
  • Check out when they leave — This frees up the room for the next guest.

[!TIP] You can customize which booking statuses are available in Settings > Booking Preferences. For example, if you don't use "Pending" and only take confirmed bookings, you can turn it off.
